The Science of Growth
Grow Theory is the growth platform for medspas, aesthetic clinics and medical dermatology practices. It connects to your EMR, surfaces the revenue sitting in your patient list, and books it.

Built for practices like yours
Your next hundred patients
are already in your chart.
Most practices spend their marketing budget chasing strangers while the people who already trust them quietly lapse. The economics are not close.
more expensive to acquire a new patient than to keep a current one coming back
more profit from improving patient retention by just five percent
of future profit comes from the patients already on your list
Inquiries scatter
Texts on one phone, Instagram on another, web forms in an inbox nobody owns, voicemails nobody returns. The inquiry that waited longest is the one you never see.
Cancellations become gaps
Someone cancels at 9am for a 2pm slot. Filling it means remembering who wanted it, finding their number, and calling down a list — between the patients you already have.
Good patients go quiet
The patient who came twice last year and hasn't been back is invisible until someone goes looking. The medical patient who'd happily book cosmetic is invisible too.
Four levers. All of them
pulled automatically.
Medical patients discover what else you offer
A patient who already trusts you with their skin is your warmest cosmetic prospect. Grow Theory builds audiences from real treatment history synced out of your EMR — so you can reach everyone who had a specific treatment, or hasn't been back in five months, and send them something relevant.
That's the difference between a CRM that holds a mailing list and one that knows what your patients actually had done.
Segments and campaignsConsultation offer · email then SMS follow-up · scheduled Tuesday 9am.
Nobody lapses without you noticing
Recalls fire on treatment anniversaries. Win-backs go to patients who've gone quiet. Post-treatment check-ins land the day after, and review requests follow a completed visit. All triggered by what actually happened in the calendar, not by someone remembering on a Friday afternoon.
Automations| Flow | Trigger | Steps | Status |
|---|---|---|---|
| Recall — 12 weeks | Treatment anniversary | 4 | On |
| Win-back — 5 months quiet | No visit in 150 days | 3 | On |
| Post-treatment check-in | Visit completed | 2 | On |
| No-show follow-up | Marked no-show | 3 | On |
| Review request | Visit completed | 3 | On |
A cancellation stops costing you the afternoon
The moment a slot opens, Grow Theory ranks everyone waiting for exactly that treatment — on the value of that appointment, VIP status, how well the provider and time match what they asked for, and how long they've been waiting — then offers it in timed waves. First to claim gets booked straight into your calendar.
Smart Waitlist2:30 cancelled 4 minutes ago. Offered to 3 patients — expires in 22 minutes.
The 11pm inquiry gets an answer at 11pm
Texts, emails, web chat and calls land in one thread per patient. ADA answers with real availability, holds the slot and takes the booking — or drafts the reply and waits for you. Every inquiry becomes a tracked lead with an owner and a next action.
The inboxIntake sent · calendar updated · confirmation scheduled for Wednesday.
Nine modules, one system,
and ADA working across all of them.
Dashboard
Active patients, appointments today, leads, lead-to-patient rate and referrals — with the appointment funnel and lead pipeline beneath them.
Inbox
SMS, email, web chat, phone and internal team chat in one thread per patient, with assignment, labels and follow-up flags.
Appointments
Five calendar views, provider lanes, and a booking dialog that writes into your EMR and reads back to confirm it landed.
Smart Waitlist
Detects the opening, ranks the queue, offers in timed waves, books the winner — and records why each patient was chosen.
Leads
Seven pipeline stages, eleven capture sources, structured loss reasons, and lead-to-patient merge with undo.
Referrals
Track a referral from received to converted, with duplicate detection and a report on where attribution is missing.
Marketing
Contacts, lists and dynamic segments built on real treatment history, that preview their audience before you send.
Automations
A visual builder with six kinds of trigger. Versioned — publish it, and roll back by publishing an older version.
Templates
One library of message templates with shared merge fields, used by the inbox, your automations and every campaign.
ADA
The agent that works across all nine. It drafts replies in your inbox, answers your website chat and books from it, watches for threads going quiet, and hands anything clinical straight to a person.
Front-desk capacity
without the hire.
ADA is Grow Theory's AI agent — an agent inside your inbox, your calendar and your patient list, working through the same permissions your staff have. It answers new inquiries in seconds at any hour, books them, and hands anything clinical straight to your team.
Drafts, never surprises
Replies from your inbox wait for a person by default. You decide which conversation types ADA may answer on its own, including the website chat.
Answers your website, day and night
A chat widget on your own site that checks real availability, holds a slot and takes the booking.
Flags revenue before it slips
It watches threads going quiet and surfaces them with the reason and a reply ready to send.
Knows when to step back
Complaints and medical questions go to your team with the full thread attached.
It works inside your EMR,
not alongside it.
Booking tools bolt a second calendar onto your practice and leave you reconciling the two. Grow Theory treats your EMR as the source of truth and works within it.
| Capability | A typical booking tool | Grow Theory |
|---|---|---|
| Your EMR calendar | A separate calendar, reconciled by hand | Books, reschedules and cancels inside your EMR, and confirms every change landed |
| A cancellation at 9am | Filled manually, if there's time | Detected automatically and offered to a ranked queue within minutes |
| Marketing audiences | A mailing list | Segments built on real treatment history, so you can target what patients actually had done |
| Conversations | Booking confirmations | SMS, email, web chat, phone and internal chat in one thread per patient |
| AI | A scripted website chatbot | An agent inside the product, working on your staff member's own permissions |
This was built inside a working practice,
not a boardroom.
Grow Theory began as internal software for a medical aesthetics practice — built to solve that practice's own problems, and running there every day on real patient volume. Every workflow on this site exists because a front desk needed it on a Tuesday morning.
That's why the scheduler writes back to the EMR, why the waitlist explains its own decisions, and why nothing here requires a full-time administrator to operate.
HIPAA compliant, by design.
Patient data is encrypted in transit and at rest, access is role-based and audited, and we execute a Business Associate Agreement with every practice.
Encrypted in transit and at rest
Patient data is protected in transit and at rest, with message content and stored credentials encrypted at the application layer.
Role-based access
Granular permissions scoped to the clinic locations each person works at, so staff see what their role needs and nothing more.
Audited
Sensitive actions — record access, consent changes, permission changes — are written to an audit trail.
Isolated per practice
Your data is separated from every other practice on the platform, enforced at the database level.
Independently tested
An independent security firm tested the running platform in 2026.
BAA with every practice
We execute a Business Associate Agreement as part of onboarding.
Priced around your practice,
not a seat count.
Pricing scales with your locations, your providers and the parts of the platform you switch on. Unlimited staff accounts on every plan.
Frequently asked.
Medspas, aesthetic clinics, medical dermatology and cosmetic practices. The workflows are built around how these practices actually run — treatment types, provider lanes, consultations that become courses of treatment, and the medical-to-cosmetic relationship that dermatology practices grow on.
Grow Theory integrates deeply with ModMed — reading patients, appointments, providers and availability continuously, and writing bookings, reschedules and cancellations back. More EMR integrations are on the way. Your EMR stays your clinical record; Grow Theory does the growth work around it.
For your team: drafts replies, answers questions about your own data, books and reschedules appointments, and flags threads that have gone quiet. For your patients: a chat widget on your website that checks real availability and takes bookings. Both run on the permissions of the person using them, and ADA hands a conversation to a human the moment it becomes a complaint or a medical question.
You decide, and you can set it per conversation type. Many practices run approval-first, where every outgoing message is reviewed by a person before it sends. The website chat widget is configured by you, including how it introduces itself.
We connect your EMR, import your services and providers, set up your business number for SMS, and configure the automations you want running on day one. Onboarding is hands-on and included in every plan.
Growth is a theory.
We built the system.
Twenty minutes with your calendar on screen, and you'll see exactly where the revenue is hiding.
